One Systems Australia (“One Systems”, “we”, “us”, “our”) respects your privacy and is committed to protecting the personal information you share with us. This policy explains what information we collect, how we use it, who we share it with, and the choices you have. It applies to our websites (including onesystems.com.au), our Norwood and Mount Barker workshops, and any phone, email or in-person dealings with our team.
We handle personal information in accordance with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth).
1. The information we collect
Depending on how you interact with us, we may collect:
- Contact details — name, phone number, email address and (where relevant) suburb or postcode.
- Repair and enquiry information — device make/model, IMEI or serial number, a description of the fault, photos you choose to send, and notes added by our technicians.
- Custom PC build details — the answers you provide in our Build a PC wizard (use case, budget, timeline, preferred parts).
- Payment information — handled by our payment providers; we do not store full card numbers on our servers.
- Website usage data — anonymous analytics such as pages viewed, device type, approximate location and referring site, collected through cookies and similar technologies.
2. How we use your information
We use personal information to:
- book, perform and follow up on repairs, custom builds and IT support jobs;
- respond to enquiries and quote requests;
- contact you about your device, parts ordered, collection or warranty;
- process payments and issue invoices and receipts;
- improve our website, services and customer experience; and
- meet our legal, tax and record-keeping obligations.
We do not sell your personal information, and we do not use it for unrelated marketing without your consent.
3. Who we share information with
We only share personal information with third parties where it’s necessary to deliver our services or required by law. These include:
- Cloud hosting & database providers that store enquiry, customer and website data on our behalf (servers located in Australia or other regions with comparable privacy protection).
- Email and SMS providers used to send quote, repair-status and booking notifications.
- Payment processors for in-store and online transactions.
- Parts suppliers and authorised repair partners where needed to source a specific component or complete a warranty claim.
- Government or law-enforcement agencies if we are legally required to disclose information.
4. Data on devices left for repair
When you bring in a phone, laptop, desktop or other device, our technicians may need to access your operating system to diagnose and verify the repair. We treat the data on your device as confidential and only access what is required for the job. We strongly recommend you back up your data before bringing a device in. Where you ask us to perform a data recovery or transfer, you authorise us to handle that data for the limited purpose of completing that work.
5. Cookies and analytics
Our website uses cookies and similar technologies to keep the site functioning, remember preferences and measure how visitors use the site. You can disable cookies in your browser settings, though some parts of the site may not work properly. Aggregated, de-identified analytics data is used to improve content and performance.
6. How we store and protect your information
Personal information is stored on access-controlled systems and reputable cloud providers. We use industry-standard security including encrypted connections (HTTPS), role-based access for staff, and secure backups. While no online service can be guaranteed 100% secure, we take reasonable steps to protect your information from misuse, interference, loss, unauthorised access, modification or disclosure.
7. How long we keep information
We keep personal information only for as long as we need it to provide our services and meet legal requirements (for example, Australian tax law generally requires us to keep financial records for seven years). Repair notes, quotes and enquiries that are no longer needed are deleted or de-identified.
8. Your rights
You have the right to:
- ask what personal information we hold about you;
- request correction of information that is inaccurate, out of date or incomplete;
- ask us to delete personal information we no longer need;
- opt out of any non-essential marketing communications; and
- make a complaint about how we’ve handled your personal information.
To exercise any of these rights, email us at support@onesystems.com.au. We’ll respond within a reasonable timeframe (usually within 30 days). If you’re not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
9. Children’s privacy
Our services are intended for general audiences. We don’t knowingly collect personal information from children under 13 without parental or guardian consent. If you believe we’ve collected information from a child without appropriate consent, please contact us so we can remove it.
10. Changes to this policy
We may update this Privacy Policy from time to time to reflect changes to our services, technology or the law. The “Last updated” date at the top shows when it was most recently revised. Significant changes will be highlighted on our website.
